the goodtime hotel is a newly developed mixed-use project designed Morris Adjmi and Ken Fulk offering over 45,000 SF of ground floor and retail opportunities in the heart of Miami Beach. Overview:
The Sales and Marketing Specialist is responsible is responsible for all activities related to promoting the hotel including but not limited to; coordinating Hotel Site Tours with new or existing clients, partners, and vendors. Providing guests with marketing material, acting as liaison on behalf the department managers for any leads that surface from contacts that inquire about the hotel, collaborate with the guest experience team and revenue team to ensure upscale execution. He/she will manage all clerical, administrative, and other duties to assist in the smooth operation of the Sales and Marketing department. He/she is also responsible for providing attentive, courteous and efficient service to all guests.
Responsibilities:
- Act as the primary liaison for group clients, managing communication before arrival and throughout their stay.
- Conduct regular on‑site client check‑ins to ensure satisfaction and proper event execution.
- Ensure accuracy and coordination of Banquet Event Orders (BEOs) and event setups in partnership with operations teams.
- Prepare and distribute proposals, contracts, group resumes, BEO packets, and pickup reports.
- Collaborate with Revenue Management on group pace, pricing strategy, and rate management to maximize revenue opportunities.
- Answer and respond to telephone calls and email correspondence in a timely and professional manner.
- Maintain department organization including filing correspondence, managing trace files, and distributing communications.
- Prepare and distribute meeting minutes, reports, and internal communications as needed. Maintain trace file as needed.
- Maintain inventory of office supplies and support the smooth daily operation of the sales office.
- Assist with administrative tasks including copying, mailing, and document preparation.
- Greet guests, clients, and colleagues in a professional and welcoming manner.
- Maintain a warm and friendly demeanor at all times.
- Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner.
- Attend required departmental meetings, training sessions, and hotel briefings.
- Maintain regular attendance in compliance with Highgate Hotel Standards, as required by scheduling, which will vary according to the needs of the hotel.
- Maintain a professional appearance and adhere to Highgate Hotel standards and policies.
- Demonstrate initiative by anticipating guest and operational needs while maintaining confidentiality of sensitive information.
- Support overall hotel operations and assist with additional duties as assigned by management.
- Comply with Highgate Hotel Standards and regulations to encourage safe and efficient hotel operations.
- Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.
- Prepare Banquet Event Orders (BEOS) as per client needs (Catering Only)
- Perform other duties as requested by management.
Qualifications:
- At least 1 to 3 years of progressive experience in a hotel or related field. Experience within the hospitality industry, particularly boutique or luxury hotels, is preferred.
- College course work in related field helpful.
- Proficient in the English language in reading, writing, and verbal communication
- Must be able to multitask and prioritize departmental functions to meet deadlines
- Engaging interpersonal skills to represent Hotel Bardo Savannah to guests, members, and partners
- Comfortable identifying strategic needs but also an executor ensuring the implementation of a strategic plan
- Computer knowledge/skills required.
- Must be skilled in Windows Office, Company approved spreadsheets and word processing.
- Flexible and long hours sometimes required.
- Familiarity with Marriott platforms such as CI/TY and MGS, and Opera reservations system is a plus.
- Strong communication skills with the ability to effectively engage clients, partners, guests, and team members in both written and verbal formats.
- Proven customer service skills with a commitment to delivering exceptional guest experiences and maintaining strong client relationships.
- Experience building and managing room blocks, reservations, rooming lists, housing bureau entries, and pickup reports.
- Experience supporting Sales, Catering, and Marketing initiatives to drive revenue growth and brand visibility.
- Ability to prepare and manage proposals, contracts, group resumes, BEO packets, and commission submissions, while coordinating with accounting and operations teams.
- Strong organizational, administrative, and problem-solving skills with the ability to manage multiple priorities and deadlines.
- Must be able to effectively communicate verbally and written, with all levels of employees and guests in an attentive, friendly, courteous and service oriented manner.
- Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
