Overview:
TheExecutive Meeting Manageris responsible forcoordinating and supervising assigned group business after it is booked by the sales department, and through completion of the event or function, whilemaintainingprofitable operations andhigh-qualityproducts and service levels.The employeeis expected to market ideas to promote business; Reduce employee turnover; Maintain revenue and payroll budgets; and meet budgeted productivity while keeping quality consistently high.The Executive Meeting Manageris also responsible for acting as a liaison between client and operating departments to ensure a successful meeting and to generate repeat business.
Responsibilities:
Fundamental Requirements:
- Follow up on allGroup and Social {Wedding}turnoverswith 24 hours via telephone and within 3 days with written correspondence
- Respond to requests– either by email or telephone fromMeeting Plannersimmediately.
- Use the Partnership Agreement to meet client needs.
- Haveacomprehensive knowledge of all operational departments within the hotel; guest services, reservations, housekeeping, audio visual, accounting, restaurants, bars, and engineering.
- Effectively communicate andinteractwith outside plannersandvendors for event setup.
- Maintain pricing integrity and proposeupgraded guestroomandSuite accommodationswhenever possible
- Create,reviewand revise rooming lists and VIP lists.
- Create detailed Resumes for all Groups and Social Events on a Weekly basis.
- Manage existing accounts and follow up withclientforre-solicitationandto capture future business.
- Effectively communicate with hotel partners on any FoodandBeverageclient requests.
- Manage theEvent Diary in Hyatt Envision Salesand adjust spacein order toensure maximum potential revenue.
- Be visible on the floor andassiststaff as neededduring groupbusiness dates of stay and on social blocks date of arrival
- Be involved in and/or conduct departmental and hotel training (One-to-One Training, etc.)
- Plan and execute holiday andspecial eventsin conjunction with the Directorof HumanResources
- Utilizefeedback from Meeting Planner evaluations to improve service and quality.
- Participate inrequiredM.O.D. program as scheduled.
- Position wouldbe responsible forfully executing all room blocks for both group and social business from contract signing through post event billing
- Assist Pergola in booking one-off social events in the restaurant’s private dining room
Qualifications:
Education & Experience:
- At least 2 years of progressive experience in a hotel or a related field; or a 4yearcollege degree, or a 2-year College degree and 1 or more years of relatedexperience.
- Must be proficient inMSWindows,Excel – MS PowerPoint in addition to otherCompany approved spreadsheets and word processing.
Physical requirements:
- Flexible and long hourssometimesrequiredincluding weekends.
- Medium workexertingup to 50 pounds of force occasionally, and/or 20 pounds of forcefrequentlyor constantlyto lift, carry, push, pull or otherwise move objects.
