What We Need:
We are looking for a Project Specialist to join our HNI Workplace Furnishings team. As a Project Specialist, you will manage large, complex furniture projects ($1.5M+ in value) from order planning through completion. This role requires prior project coordination experience and strong ownership, with a focus on delivering exceptional customer experiences while balancing internal and external stakeholder interests. You will coordinate resources, resolve challenges proactively, and optimize project execution to drive efficiency, profitability, and customer satisfaction. Occasional travel may be required (up to 10%) to meet with dealers in person and strengthen relationships.
What You Will Do:
Manage all aspects of high-value, complex orders from opportunity win through delivery, including post-delivery follow-up and warranty support.
Act as the primary point of contact for customers and dealers, providing clear guidance, answers, and proactive updates throughout the project lifecycle.
Collaborate with Field Sales, Supply Chain, Transportation, and Customer Support teams to ensure accurate, on-time project execution.
Coordinate planning and delivery schedules, change orders, order entry, and factory interactions while mitigating risk and avoiding repeat issues.
Review large order reports and assign projects across the team to balance workload and ensure deadlines are met.
Exhibit urgency and problem-solving skills to resolve unexpected project complications, creating mutually beneficial solutions.
Enter and maintain accurate project and order data in Salesforce and Oracle to support operational and reporting needs.
Support team members by sharing workload, providing coverage for vacation or queues, and assisting with cross-team initiatives.
What You Have:
Associate’s Degree required; Bachelor’s Degree preferred.
Prior project coordination experience required; experience managing large-scale, high-value projects ($1.5M+) preferred.
Customer-facing experience with strong communication skills.
Experience with Oracle and Salesforce strongly preferred.
Understanding of supply chain, manufacturing, or production processes.
